Office Manager
The Office Administrator is responsible for the efficient day-to-day administrative operations of Tyndale Theological Seminary. This role ensures compliance with governmental and institutional requirements, oversees administrative systems, tasks and documentation, and supports the hospitality and operational needs of the seminary community.
The Office Administrator serves as a key liaison between the seminary and external authorities, while also supporting internal departments in maintaining accurate records, smooth operations, and a welcoming residential environment for students, staff, and guests.
Supervision Received: Vice-President of Operation and Administration
Supervision Exercised: None at present (may coordinate volunteers or student workers as needed)
Liaise: President, Faculty, Dean of Students, Facilities Manager, External Agencies
Number of hours: Full time - 32 to 40 hours per week
Responsibilities
A) Government Liaison & Compliance
Serve as primary liaison with Dutch government authorities and regulatory bodies
Ensure compliance with applicable laws and regulations (e.g., education, residency, labor, safety)
Coordinate visa/residency-related administrative processes for faculty, and staff (as applicable)
Maintain awareness of changes in Dutch regulations affecting the seminary
B) Administrative Oversight & Documentation
Oversee and maintain official institutional documentation (e.g., GDPR compliance, policies, procedures)
Ensure proper handling, storage, and updating of institutional records and contact databases
Maintain accuracy and confidentiality of student, faculty, staff, and organizational data
Support internal audits and compliance reviews
Assist in drafting and updating administrative policies and procedures
C) Facilities Inventory & Office Operations
Manage inventory of office supplies, equipment, and consumables
Coordinate ordering, purchasing, and vendor relationships for office needs
Monitor usage and ensure cost-effective procurement practices
Support general office operations, including correspondence, filing, and communication
D) General Administrative Support
Provide administrative support to leadership and faculty as needed
Assist with scheduling, meetings, and internal communications
Support logistical preparation for events, orientations, and seminary activities
Contribute to a collaborative and service-minded office culture
Desirable Knowledge, Abilities and Skills
Strong organizational and administrative skills with attention to detail
Ability to manage multiple responsibilities and prioritize effectively
Familiarity with compliance frameworks (e.g., GDPR, ISO standards)
Knowledge of local Dutch laws regarding immigration, employment and student visas
Excellent written and verbal communication skills in English (Dutch is an asset)
Proficiency in Google Workspace
Strong interpersonal skills with a service-oriented mindset
Ability to work independently and as part of a team
A commitment to the mission, values, and Statement of Faith of Tyndale Theological seminary and a commitment to the local church and a lifestyle of faith
Experience in working with non-profits, universities or seminaries
Qualifications
Relevant administrative experience (preferably in a nonprofit, educational, or church-related environment)
Bachelor’s degree or equivalent professional experience
Experience dealing with regulatory or compliance-related processes is an advantage
